AI notetaker banned at work? What you can still do

Short answer

If your employer banned AI notetakers, first read what the rule covers: it may name meeting bots, cloud services or all recording. A recorder on your own computer puts no bot in the call and uploads nothing, but it may still be against the rule, so ask.

What it bans

Read what the rule actually bans

The reasons differ, so read your own policy. Three things it can mean:

  1. A bot in the call.

    No bot joins the call.

    Not how Lesskeys works
  2. Audio sent to another company.

The audio and the transcript are not uploaded.

    Not how Lesskeys works
  3. Any recording at all.

A recorder on your computer is still a recording.

    Ask first

Ask first

Ask, in writing

A recorder on your own computer can still be against the rule.

Ask IT or your manager whether it is allowed, and keep the answer. If the answer is no, take notes by hand. This is not legal advice.

Consent

Tell everyone on the call

Some places need every person to agree, others only one.

An employer's rule can add to the law. Other people on the call can still record too, and if the meeting service records, it keeps its own copy.

Tell the people you record; some places require everyone's consent.

No internet

No internet? Still works

A locked-down network does not stop the transcription.

Once the speech model is on the computer, recording and transcribing need no internet. Getting the model takes one download, and whether you may install software is a question for IT.

Questions

Questions about notetaker bans at work

Is using it allowed if my company banned AI notetakers?

It can be: bans often target bots and cloud services, and Lesskeys has neither a bot nor an upload. Your company's recording policy still applies, so check it, and ask in writing.

Will the other people on a call see a notetaker join?

No. Lesskeys is not a bot and never joins a meeting; it records on your own computer. Whether you should tell people is a consent and policy question, and you should.

Do I need consent to record with AI?

It depends on where you are and who is on the call: some places need every person to agree, others only one, and an employer's policy can add a rule. Tell people before you record. This is not legal advice.

Do I need to install anything in Zoom, Teams or Meet?

No. Lesskeys records the sound your computer plays, so it needs no plugin and no setting inside the meeting app; Webex, a browser call or an audio file played through the computer is recorded the same way. A call on a separate cell phone is not. The page on private meeting transcription has the details.
